POSITION SUMMARY

Volunteers are at the heart of our work. We deeply value these essential members of our team, some of whom have partnered with the foodbank for over 10 years and some who are joining us for the first time. We utilize up to 100 volunteers every week. The Volunteer Coordinator plays an essential role in recruiting, training and engaging volunteers to support IFCB’s operations, programs, and events. We are a growing organization, and the volunteer coordinator plays an essential part in our growth and community impact.

The Volunteer Coordinator leads all aspects of our volunteer program including recruitment via multiple channels (including, but not limited to, email, telephone, and public outreach and networking events), background checks and other internal policies, managing volunteer schedules and ensuring shift fulfillment, reporting, regular communications, and recognition/appreciation. The Volunteer Coordinator also works closely with our Operations, Program, and Development staff members to assess needs for volunteer support. Candidates must be dynamic and passionate about our mission and community engagement. have strong leadership, organizational, customer-service, communication, and recruitment skills. Position is under the supervision of the Director of Operations and Programs.

Primary work hours are Monday-Friday, 8:00 a.m. – 4:30 p.m., as well as a minimum of two evening shifts (ending at 7:30 p.m.) per month. Occasional evening and weekend hours may be required, with advance notice.

ESSENTIAL DUTIES

  • Develops and implements volunteer programs in support of Food &Clothing Bank services.
  • Recruits volunteers and recommends assignments that will make the best use of individual talents.
  • Participates as lead operations staff member during twice monthly afternoon/evening market distribution shifts (schedule subject to change as programs/services develop).
  • Serves as the initial point of contact for potential new volunteers and schedules appointments.
  • Manages and fills a robust schedule of volunteer support across daily operations, special programs, and seasonal events.
  • Leads orientation for new volunteers.
  • Develops ongoing training programs for volunteers and staff who use volunteers.
  • Serves on task forces and committees related to volunteerism. 
  • Maintains volunteer time records, nametags, applications, volunteer sign up database and email lists.
  • Supports Operations and Programs Director with planning, staffing, and implementation of special programs and events.
  • Develops and routinely updates volunteer job descriptions, training manuals, orientation procedures and volunteer policies.
  • Works with community and corporate groups to manage group volunteer opportunities.
  • Promotes all aspects of volunteer programs within neighboring communities, including making presentations to community groups.
  • Assists with conflict resolution that involves volunteers and recommends appropriate mediation or disciplinary action.
  • Leads development and distribution of volunteer e-newsletters and other communications with volunteers.
  • Ensures periodic evaluation of volunteer performance and volunteer program.

 

REQUIRED QUALIFICATIONS

  • Experience working with volunteers
  • Excellent organizational skills
  • Proficiency with Microsoft Office Suite, including Excel, Word, and PowerPoint, social media, and website maintenance and updates.
  • Demonstrated excellent communications skills.
  • Proficiency in written and spoken English.
  • Ability to work cooperatively with people from diverse backgrounds.
  • Ability to successfully manage conflict.
  • High degree of organization, and the ability to plan ahead.

 

PREFERRED ADDITIONAL QUALIFICATIONS

  • Bachelor’s degree.
  • Strong understanding of all aspects of volunteer program management.
  • Knowledge of principles, techniques, tools, and media used in recruiting volunteers and promoting volunteerism.
  • Proficiency in a second language, especially Spanish, Chinese (Mandarin), Russian, or Ukrainian
  • Experience working in a nonprofit setting.

 

WORK ENVIRONMENT

The Volunteer Coordinator will work primarily at our food bank and administrative offices. The food bank is a busy, fast-paced environment that can be noisy. Position requires the ability to stand and sit for extended periods of time.
