JOB DETAILS 

  • Status: Part-time (20-25 hrs/week), hourly 

  • Schedule: Monday 8 am – 4 pm required; Regular weekly schedule to be determined within our standard operating hours based on mutual scheduling needs

  • Compensation range: $30-32/hour DOE

INTRODUCTION 

We're seeking an engaging, organized, and detail-oriented Volunteer Coordinator to keep our volunteer program running smoothly. This role is ideal for someone who enjoys communicating with a wide variety of people, solving scheduling challenges, and keeping multiple systems and projects organized.  

POSITION SUMMARY 

The Volunteer Coordinator will have a significant impact on the food bank's robust volunteer community. They will serve as a key point of contact for our volunteers, helping to support more than 1,800 volunteer opportunities each month through effective scheduling, coordination, recruitment and onboarding support, and administration of volunteer systems.  

For the Volunteer Coordinator, success looks like coordinating volunteer administrative needs efficiently, communicating effectively with volunteers and staff, and fostering a consistently positive experience for volunteers with a customer service mindset and highly responsive support. This position focuses on day-to-day volunteer operations and coordination, not program strategy or management. Volunteer recruitment and engagement strategy is led by the Volunteer Engagement Lead; the Volunteer Coordinator supports these efforts through scheduling, outreach, and administrative execution. 

KEY RESPONISBILITIES 

Volunteer Scheduling & Coordination 

  • Create volunteer registration pages for programs and events, following established timelines and requirements. 

  • Monitor the volunteer inbox and respond to inquiries promptly and professionally 

  • Coordinate coverage for absences and last-minute cancellations via phone, email, and text. 

  • Support scheduling needs across ongoing programs, special events, and seasonal initiatives. 

Grocery Rescue Driver Program 

  • Serve as primary coordinator for Grocery Rescue volunteer drivers, monitoring schedules and route coverage. 

  • Recruit and coordinate substitute drivers, and communicate schedule updates and reminders. 

  • Onboard new drivers and coordinate their training by following established procedures. 

Volunteer Recruitment & Engagement  

  • Respond to inquiries and support new volunteers through onboarding. 

  • Proactively recruit to fill vacancies and urgent needs, supporting recruitment efforts led by the Volunteer Engagement Lead. 

  • Serve as primary point of contact for individuals seeking Court-Ordered Community Service opportunities. 

  • Contribute to volunteer appreciation and retention efforts. 

Systems & Administrative Support 

  • Maintain accurate volunteer and driver records, databases, and reports across all programs, in partnership with the Volunteer Engagement Lead. 

  • Coordinate registration and scheduling platforms, including recurring schedule updates. 

  • Support volunteer communications (announcements, reminders, newsletters). 

  • Learn and use a variety of software platforms used across the organization. 

  • Support additional volunteer engagement and operational projects as assigned; perform other duties as assigned and attend training as required. 

 

ELIGIBILITY REQUIREMENTS 

  • Valid driver's license and clean driving record. 

  • Must pass a driving and criminal background check. 

  • Must be at least 25 years old (insurance requirement for operating staff vehicles). 

QUALIFICATIONS 

Required 

  • Excellent written and verbal communication skills, including confidence making phone calls. 

  • Strong organizational skills and ability to manage multiple priorities and schedules with a high degree of accuracy. 

  • Experience using online platforms such as scheduling systems, databases, CRMs, or registration tools, with the ability to quickly learn new technology. 

  • Commitment to treating all individuals with dignity, respect, and compassion. 

Preferred 

  • Experience coordinating volunteers, customers, clients, or community members. 

  • Experience in a nonprofit, community-based, or service-oriented organization. 

  • Experience coordinating logistics, transportation routes, staffing, or schedules. 

  • Experience with volunteer management software or registration platforms. 

  • Bilingual or multilingual skills. 

  • Professional experience as a Recruiter, Program Coordinator, Volunteer Coordinator, Staffing Coordinator, Office Manager, Executive Assistant, Customer Success Coordinator, or Dispatcher. 

KNOWLEDGE, SKILLS & ABILITIES 

  • Ability to work independently, exercise sound judgment, and provide excellent customer service to a diverse volunteer community. 

  • Comfortable working in a fast-paced environment with frequent interruptions. 

  • Experience building positive relationships with volunteers, clients, or community members. 

PHYSICAL REQUIREMENTS 

This position requires a combination of computer-based work and on-site engagement with volunteers, including the ability to sit, stand, walk, and use standard office equipment. Occasional lifting of up to 35 pounds may be required.
